Overview: Positive Pay is a form of fraud protection offered by banks. You must set up Positive Pay with your bank before using in the system. After you process a check run (A/P, Payroll, Revenue), the positive pay system will allow you to upload the check register information to your bank. If the cleared check does not match the upload, the bank will not process the check. NOTE: Draft payments or ACH payments that create an E-check number in the Check History will not be included on the Positive Pay file for your bank.
Setup:
1.In order to create the positive pay file in the correct format for your bank, in Export Positive Pay File, select the Format for positive pay
2.Then, in Bank Account, on the MICR Check option tab, you must fill in the Bank account number and the Routing number even if you are using preprinted checks. The positive pay file uses the information that is specified in those fields.
Creating a Positive Pay File:
1.Go to Bank Reconciliation/Reports/Export Positive Pay File
2.Select the Bank Code that the Positive Pay File will be created for.
3.Select the correct Positive Pay Format.
4.Select the Check Number range and, if necessary, the Check/Void Date Range
5.The system will ask you where to save the file, select a location and click on Save.

6.The file is ready to send to your bank through your normal Positive Pay bank system.
NOTES
•See Check Register Listing for the steps to run a check register for the positive pay files you create.
•See Alerts for information on automatically uploading the file to the bank.
•Use the drop down list option to view all the bank formats. Use the contains field to search for the positive pay format desired.
•You may notice that some banks have more than one file format name. This is because different branches may have different requirements. You will need to work with your bank to see which format they will accept.
