Rev/Bill Extract Billing

The Billing Tab is where to set up additional information specific to Billing. In our examples, the date fields are the same date; however, the dates can be customizable to your situation.

Remember that all dates entered are effective dates, not production dates.

Billing Tab

Billing Cutoff Date

The cutoff date of transactions to be included in the current cycle.

Billing Date

The date to be printed on the billing.  Also, the effective date of the billing is recorded as the General Ledger’s Billing Journal date. In most situations, the Billing Cutoff Date and the Billing Dates will be the same.  Most companies cut-off at the end of the prior month.

Include Overhead Items

Checked – system will automatically include any Overhead Entries you have setup for the range of leases being billed.   If you need to do a supplemental billing or mid-month billing, unchecking this option enables you to suppress Overhead entries from being generated.  If you only need to suppress one or two of the entries, but create the others, then use the Hold Transaction option to hold the ones you don’t want to bill this cycle.

Overhead entries set up in Overhead Maintenance.

Last AR Statement Date

This is Optional. The "Last A/R Statement Date" is used to display a "Statement of Account" on the Settlement Statement section on the Owner Settlement Statement. This will list the AR transactions that have occurred since the last AR statement date. Normally, the date entered is the ending date from the last cycle

NOTE: If the cycle to be run is a billing cycle only and the "Refund owners with credit net billing + AR" box on the General tab is unchecked, then the  "Check Date and A/R Statement As of Date" can be dated in a Bank Reconciliation period that has been reconciled.
