Out of Balance General Ledger

An out of balance General Ledger is usually always caused by the failure of a batch of entries that didn’t post correctly. This can lead to entries being posted twice. 

 

If you run a Default Trial Balance and see that your G/L is out of balance, one source to look at is the Batch Posting Master found under Management Dashboard.  You can run a listing to see if any batches have a status of non-zero.  

 

1=Did not finish posting all the entries

2=Deleting Unposted

3=Unposting has started

4=Unposting A/P – deleting posted entries

5=Posting A/P (Void Invoice)

6=Unposting A/P (Void A/P Check)

 

A non-zero status indicates something happened in the update process.  This could cause out of balance journal entries to be created.  If this does happen, your Customer Success Team can help assist in getting these corrected.

Another scenario: You run the Default Trial Balance and it is out of balance, but all of the journals are in balance. This is an indication that your G/L Summary file does not match your G/L Detail file.  This can be caused by your server crashing or a power failure and the UPS on the server didn’t work or you don’t have one.  First, make sure you have your account range set to "blank thru 9999" on the Default Trial Balance form. Then follow the steps below:

 

The First Step: On your server, Rebuild the G/L Posted Detail and GL Posted Summary files. Utilities > Rebuild > Rebuild Data Files.  Select the GL Posted Detail (GLPOST), and GL Posted Summary (GLPSMF).  All other users need to be out of this company before you rebuild these files.

The Second Step: Also on your server, Utilities Menu > Resummarize > Resum Posted Detail.  As stated on the screen, All Users should be out of this company while running this utility.  This utility resummarizes all of the account balances from the posted detail and recalculates the Balance Forwards for each year.

 

Another utility is available under Utilities > Resummarize > Verify/Fix Balances by Batch.  This utility has many different options, but the most commonly ran one is #2 Verify Posting Batches.  The 2nd part of #2, Verify Batch Posted Entry Count, should generally be left unchecked.  It was possible with older batches to routinely have a different number of entries on the Batch Posting Master than the number of posted entries.  

This will verify that each and every batch of entries are in balance.

NOTE: If Dual Date is out of balance with a future dated entry, here are steps to follow to be able to correct: Run the Utilities >ReSummarize > Resum Posted Detail - when the generated Balance Forwards have completed for your current year, click Cancel. Use F4 to go to your Dual Date account, highlight the entries noted, when you ran the Verify Batch, right-click and Unsplit. Go back and run the ReSummarize utility - letting the process fully complete.
