Clearing checks

After entering the bank statement balance information, the next step is to review the checks in the system, and mark the checks that have cleared on the statement.  This can be done using one of three menu options:  Range-Clear Checks by Range; Tagging-Clear Checks by Tagging or by Importing cleared file.

 

Clear checks by range:

This option allows a range of check numbers (or one check number) to be cleared in one step.  If most of the cleared checks on your statement are within a range of numbers, this is an easy way to mark them.  For example, if your statements shows check numbers 5664-5671 have all cleared, you can mark them all cleared in one step. If preferred, or if the check number is not a part of a range of checks that have cleared, one check can be cleared by entering the same check number in both the "From" and "Thru" fields.

 

After you enter the ending check number, press enter.  The system will then flag the checks you have indicated as cleared, and display the status on the screen.  Any checks that were missing, or previously cleared/voided, will be noted in the status and results area of the screen. While this can be time efficient, this screen will not let you review individual checks.

 

***NOTE: Voiding checks should be done in the system that created the check. For example, an A/P check should be voided in the A/P module / Void A/P Check. A revenue check should be voided in the Revenue/Billing module > Reports/Corrections > Change/Correct/Void > Void Revenue Check. Payroll checks should be voided in the Payroll module - See Void a Payroll Check and Create Reversing G/L Entries for more information on voiding Payroll Checks.

 

Clear checks by tagging:

If you want to see individual checks as you clear them, use the Clear Checks by Tagging option.  Checks can be marked cleared by tagging them from a list.

Move the cursor down to the check number you want to change.  You can change the status of the check from Outstanding to Cleared one of three ways:

1.Press the space bar, which toggles,

2.Press the first letter keystroke (C-Clear, or O-Outstanding),

3.Double click with the mouse on the status

If you want to see checks previously cleared check the Display checks that cleared in prior months box. Checks that have been previously cleared in prior cycles will have a statement date in the Status column.

When finished, press Menu to exit the screen.

TECH TIP:  You can Find an outstanding check by the amount if the bank clears a "Blank" check number.  The Filter By Amount is a useful tool in finding a certain dollar amount.
